IT Administrative Specialist (Part-Time)
Description
To perform a wide variety of responsible and complex administrative, secretarial and clerical duties to support the Director of IT and IT Managers, and to provide information and assistance to the public and internal staff regarding departmental policies and procedure.
Essential Job Duties
- Budget Monitoring and Financial Duties:
- Monitor the IT budget, recommend modifications, and support in the preparation and administration of the budget.
- Review and process financial transactions including PCard transactions, purchase requisitions, and purchase orders.
- Office Operations Management and IT Vehicle Maintenance:
- Manage office operations, including processing incoming and outgoing mail, maintaining filing systems, office supplies, and coordinating office equipment servicing.
- Assist in IT vehicle maintenance tasks including vehicle drop off & pickup for preventive maintenance and submitting mileage reports to the Fleet division.
- Departmental Forms and Meeting Support:
- Assist with internal departmental forms related to Human Resources and Finance.
- Compile meeting agendas and record meeting minutes.
- Assist in facilitating IT Meetings, interdepartmental meetings; arrange for catering and refreshments as needed.
- Filing Systems and Records Maintenance:
- Maintain department electronic filing systems, develop filing standards, and purge outdated materials.
- IT Phone Lines and Help Desk Support:
- Screen IT phone lines, assist with call handling on the IT service desk, and help with IT help desk ticket creation and entry.
- Document Preparation and Proofreading:
- Type and proofread various reports, letters, memoranda, and statistical charts.
- Independently compose correspondence related to assigned responsibilities.
- Policy Management and Calendar Maintenance:
- Assist in organizing, authoring, and managing IT departmental policies.
- Maintain the IT calendar and various meetings and events for the IT Director and Managers.
Minimum Education and Certification: Equivalent to completion of high school or GED equivalent.
Minimum Experience: Three (3) years of increasingly responsible experience in administrative support.
