We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support the President of our dynamic and fast-growing hair care brand. The ideal candidate will bring a strong administrative background, exceptional communication skills, and a passion for the beauty or consumer products industry. This role requires the ability to handle confidential information with discretion and will include traveling with the President to sales meetings in the US and internationally. The EA acts as a liaison between the President and key accounts, manages schedules, coordinates meetings, prepares materials, takes notes, follows up on tasks and supports strategic initiatives.
Key Responsibilities
- Manage and maintain the President’s calendar, including scheduling meetings, appointments, travel, and events.
- Travel with President to key meetings both domestically and internationally, take notes, and complete follow up tasks from each meeting.
- Handle sensitive and confidential information with the highest degree of integrity.
- Prepare presentation decks, reports, talking points, and correspondence, often for product launches, marketing campaigns, or investor meetings.
- Act as a key point of contact between the President and leadership team, marketing, sales, product development, and external partners.
- Support project tracking for brand initiatives, including new product development timelines and retail partnerships.
- Coordinate team meetings, take minutes, and follow up on action items.
- Maintain confidentiality and professionalism in handling sensitive company information, such as product formulas, launch plans, or business deals.
- Assist in the planning and execution of special events (e.g. trade shows, influencer events, brand activations).
- Manage expense reports, vendor communications, and department-related administrative tasks.
- Monitor beauty industry trends and competitor activities relevant to company goals.
- Assist in special projects as directed by the President.
Qualifications
- Bachelor’s degree required, Marketing or Business is a plus
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in Microsoft Office Suite, and productivity tools.
- Ability to work independently and adapt in a fast-paced environment.
- Professional demeanor and discretion in handling confidential matters.
