Health Administrative Specialist
Arcadia Educational Foundation (AEF) is seeking a qualified Health Administrative Specialist to join our 31st year of providing summer educational opportunities for students. The summer school program contributes to the Foundation's purpose of providing financial support to AUSD to help serve, maintain, and improve educational programs and opportunities for the students of the schools within the District.
OVERVIEW:
Under general supervision, AEF Office Health Administrative Specialist will perform a variety of clerical tasks to support the Arcadia Educational Foundation (AEF) summer school program. Work is performed under a minimum of supervision and requires independent work necessitating some level of initiative, judgment, and discretion. The primary responsibilities are to facilitate summer school registration and enrollment as it pertains to the Health and Medical aspects of student enrollment, to communicate with school families and students answering questions involving an understanding of AEF summer school policies, and to participate in the preparation and readiness for the start of summer school at our three school sites. The AEF Office Health Administrative Specialist will work closely with the AEF Program Director(s). This position offers work schedule flexibility within the normal office hours.
REQUIREMENTS:
- Knowledge of school vaccination records, general health requirements, medical conditions and other forms typically required relating to health and medical records for students.
- Ability to operate computer and ancillary equipment utilizing word processing, spreadsheets, and specialized related software.
DUTIES AND RESPONSIBILITIES:
- Facilitate summer school registration and enrollment focusing on student health and medical records.
- Prepare, maintain, and follow up on receipt of all student health and medical related files.
- Follow protocols in verifying and confirming parent details prior to discussing student information.
- Maintain security of confidential information.
- Support summer school site staff as needed.
- Monitor workflow, identify problems, and recommend solutions.
- Participate as a member of the AEF office summer school staff to support overall efforts for a quality AEF summer school program at all levels.
ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:
- Ability to work comfortably with students, staff, parents, and the community.
- Effective interpersonal, communication, conflict resolution, time management and organizational skills.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Understanding of general office methods including filing systems, receptionist, and telephone etiquette.
- Ability to deal effectively with a wide range of personalities and situations requiring diplomacy, friendliness, poise, and firmness.
WORK ENVIRONMENT:
- Work is performed in a standard office environment.
The paid range for the Health Administrative Specialist is $20.00 - $21.00 per hour. This is a part-time position working 4 - 14 hours per week, depending on availability and work needs, starting in March. All AEF hours worked will be reported on a timesheet. Any assignment or hours worked over 5 hours requires a 30-minute unpaid meal break. The meal break can be waived if hours worked that day are over 5 hours but under 6 hours, with prior approval.
