Administrative Assistant

Schedule: Monday-Friday, 8:30am-5pm

Compensation Range: $23.66-$26.50/hour, DOEE

Position Summary

Under Supervision of the Chief of Staff and Leadership team, the Administrative Assistant will assist with the general upkeep and management of the Administration office, be the first point of contact for internal and external parties in the office, and be responsible to provide excellent customer service and communication .

 

Essential Duties and Responsibilities

  • Perform receptionist duties: greet and direct visitors and answer and direct phone calls.
  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
  • Receive and sort incoming mail and deliveries, and manage outgoing mail.
  • Monitoring office supplies and ordering new stationery, furniture, appliances and electronics as required.
  • Research vendors for pricing and delivery options.
  • Manage office budget.
  • Keep all common office area organized, clean and safe and ensure its appliances are in good working order.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, reserving rooms or venues.
  • May conduct research and create various reports as assigned.
  • May assist other Departments with various special projects, as assigned.
  • Participate in promoting a safe, healthy, and clean working environment consistent with agency’s health and safety practices.
  • Attend and participate in all meetings and trainings as assigned.
  • Complete and submit timesheets in a timely and accurate manner.
  • Work within the framework of Insight Housing’s Code of Conduct.
  • Perform other tasks and projects as assigned.

 

Qualifications, Skills, and Abilities

  • High school diploma or GED.
  • Commitment to serving individuals experiencing homelessness.
  • Prior receptionist experience strongly preferred.
  • Transferable skills, demonstrated administrative skills, and other relevant experience will be considered.
  • Proficiency in Microsoft Office, email, internet, and calendaring applications. Experience with Salesforce a plus.
  • Ability to communicate and interact in a supportive and professional manner with colleagues and clients with diverse range of abilities and cultural, racial, gender, and economic background.
  • Must possess excellent organizational skills, initiative and follow through, and be detailed oriented.
  • Capacity to work independently and as part of a team.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal, conflict resolution, and crisis intervention skills with a can do and flexible attitude.
  • Ability to work with minimal supervision, multitask, maintain confidentiality, and meet deadlines.
  • Ability to maintain professional conduct, attitude and appearance at all times.

 

Special Requirements

  • Preferred: This position requires frequent driving.  A valid California driver license, reliable personal vehicle, current personal auto insurance as required by law, and an MVR sufficient to obtain and reasonably maintain insurability under agency auto liability policies.
  • Must be able to receive and maintain criminal and credit records clearance.

While performing the duties of this job, the employee is

  • Regularly required to use hands and fingers to handle, feel, or operate objects, tools or controls, and reach with hands and arms.
  • Frequently required to stand, walk, sit, climb stairs, talk, hear, and see clearly.
  • May be occasionally required to stoop, kneel, or crouch.
  • May be required to lift or move up to 50 lbs.
